Learn how to build interactive workflow simulations using the Screens no-code builder. Create multi-step forms that let trainees practice real software tasks like CRM data entry with automatic accuracy scoring.

A Workflow captures the exact steps of a real business process and turns them into a practice exercise attached to a roleplay agent. Instead of manually building a form to approximate a task, you record yourself performing the ideal version of it, in Salesforce, Sprinklr, or any other browser-based system.

Go to Roleplay > Workflows (or Manage > Workflows) to view and create Workflows.

What a Workflow is

A Workflow is a recording of a real process, made with the Outdoo Workflow Chrome extension inside the actual system your team uses. Outdoo captures both a video of the recording and the underlying structured events: clicks, field entries, and the order you performed them in. That recording becomes the ideal run a learner's attempt is measured against.

This approach scales to processes of any complexity. Because you record the real interface directly, there is no separate form to design or keep in sync as the target system changes.

Building a Workflow

From the Workflows list, click Add Workflow and give it a name that reflects the process, for example "Post-call CRM update: HubSpot". Add a description and the target URL, then start recording. With recording on, complete the process the way you want reps to do it, then stop recording. The recording needs to pass a few checks (site access granted, screen permission granted, video longer than 30 seconds, file under 5 MB) before you can publish it.

Attaching a Workflow to a roleplay agent

A Workflow is practiced together with a roleplay call, not on its own. Once published, open the roleplay agent, click Roleplay Format > Enable Workflow, and select the Workflow to attach. When a learner practices that agent, they hold the roleplay conversation and perform the same process in the target system at the same time.

Reviewing results

Outdoo compares the learner's video and captured events against the ideal recording, producing average handling time (AHT), resolution, steps skipped or done out of order, and step-level accuracy. See Create a workflow for what these results look like in the coaching dashboard.

Adding Workflows to courses

Once published, a Workflow-enabled roleplay agent can be added to a Course as an activity alongside other roleplay sessions. Learner results are tracked in course analytics alongside their overall performance data.

Things to know

  • Only the Chrome browser and web-based workflows are supported.
  • A learner's practice attempt runs in a sandboxed capture of the target system. Nothing touches your actual CRM, dialer, or any other connected system.
  • If your connected tool changes its interface, the Workflow needs to be re-recorded so it keeps matching the real system.
