Zoom RTMS Integration Guide

Overview

Zoom has introduced Real-Time Media Streams (RTMS), a secure way for applications to receive live meeting audio directly from Zoom. As part of this change, our Notetaker now uses RTMS instead of the previous bot-based joining method whenever it is available.

This article explains what customers need to do to enable RTMS for their Zoom organization.


Who needs to take action?

You need to complete these steps if:

  • Your organization uses Zoom meetings.
  • You want the Notetaker to automatically join and transcribe Zoom meetings using RTMS.
  • You are a Zoom Account Owner or Zoom Admin (or can work with someone who has those permissions).

Before you begin

You'll need:

  • Zoom Account Owner or Admin access.
  • Access to the Zoom App Marketplace.
  • Permission to approve marketplace applications for your organization.

Step 1: Install the Notetaker Zoom App

  1. Sign in to the Zoom App Marketplace.
  2. Search for "Outdoo AI"
  3. Click Install.
  4. Authorize the requested permissions.

If your organization restricts marketplace apps, your Zoom administrator may need to pre-approve the application.


Step 2: Enable Real-Time Media Streams (RTMS)

After installing the app:

  1. Sign in to the Zoom Web Portal.
  2. Navigate to:
    Admin → Account Management → Account Settings
  3. Open the Meeting settings.
  4. Locate Real-Time Media Streams (RTMS).
  5. Enable the setting.
  6. If prompted, allow installed marketplace apps to access RTMS.

Note: The exact location of this setting may vary depending on your Zoom account type and Zoom updates.


Step 3: Grant Required Permissions

Ensure the installed application has permission to:

  • Receive meeting audio streams
  • Receive participant events
  • Access meeting metadata required for transcription

No additional permissions beyond those requested during installation are typically required.


Step 4: Verify Organization Settings

Some organizations restrict RTMS access through security policies.

Your Zoom administrator should verify that:

  • RTMS is enabled at the Account level.
  • The feature is not disabled by Group policies.
  • The marketplace application is approved.
  • Users are allowed to use approved marketplace applications.

Step 5: Test the Integration

Create a test Zoom meeting.

When the meeting starts:

  • The Notetaker should automatically connect using RTMS.
  • Live transcription should begin shortly after the meeting starts.
  • Meeting summaries and notes will appear in your workspace after the meeting.

What changes with RTMS?

Compared to the previous bot-based approach:

  • No visible participant joins as the notetaker bot.
  • Audio is received directly through Zoom's RTMS service.
  • Faster connection to meetings.
  • Improved reliability.
  • Better support for enterprise security requirements.
  • Reduced participant distractions.

Troubleshooting

RTMS isn't available

Possible causes:

  • RTMS is disabled for your Zoom account.
  • Your Zoom plan does not yet support RTMS.
  • Your administrator has not approved the marketplace application.

Contact your Zoom administrator to verify your account settings.


The Notetaker does not connect

Check that:

  • The Zoom app is installed.
  • RTMS is enabled.
  • The meeting host belongs to the authorized Zoom account.
  • Required permissions were granted during installation.

Live transcription does not start

Verify:

  • The meeting has actually started.
  • Audio is available in the meeting.
  • The Notetaker has successfully connected.
  • Your organization's firewall or security policies are not blocking required Zoom services.

Frequently Asked Questions

Do meeting participants still see the Notetaker join?

No. When RTMS is used, the Notetaker receives the media stream directly from Zoom rather than joining as a visible participant.


Do I need to reinstall the app?

No. Existing customers only need to ensure the latest version of the Zoom Marketplace app is installed and RTMS has been enabled.


Can I still use the previous bot-based integration?

This depends on your organization's configuration. Some accounts may continue using the legacy method until RTMS is fully rolled out.


Does every Zoom user need admin permissions?

Yes. All users have to install Zoom app.


Is RTMS secure?

Yes. RTMS uses Zoom's official APIs and authorization model. Media streams are provided only after your organization authorizes the marketplace application.
