Zoom Meetings and Outdoo AI

This guide walks you through connecting a dedicated Zoom account to Outdoo so the platform can automatically join scheduled meetings, record conversations, and generate post-call insights. Following the setup and testing steps in this article ensures the integration is configured correctly and ready for validation.

To enable Outdoo to automatically join, record, and process Zoom meetings, a dedicated Zoom integration setup is required. Completing the steps below ensures the Outdoo bot can properly access scheduled meetings and generate conversation insights afterward.

Important: Create a new dedicated Zoom user account exclusively for this integration purpose. Do not use a personal or shared production Zoom account.


Step 1: Connect Your Zoom Account

Open the following page in Outdoo:

Then:

  1. Click Connect to link your Zoom account.
  2. Sign into Zoom if prompted.
  3. Approve the Outdoo app in the Zoom Marketplace.
  4. Grant all requested permissions.
  5. Click Allow to complete the setup.

Once completed, your Zoom account should appear as Connected in Outdoo.


Step 2: Configure the Notetaker User Email

After connecting Zoom, you will see a field labeled:

Enter the email address of the dedicated Zoom user account created specifically for this integration.

This user account will be used by the Outdoo bot to automatically join and record meetings.


Step 3: Connect Your Calendar & Run a Test Meeting (Optional)

Before testing, connect your calendar integration:

If another calendar account is already connected, disconnect it first before connecting your own calendar.

After connecting your calendar:

  1. Create a brand new Zoom meeting event in your connected calendar.
  2. Schedule the meeting at least 15 minutes in the future.
  3. Ensure the Zoom meeting link is included in the event invite.

Then manually trigger a calendar sync:

In the Tasks for Today widget, click Sync Calendar.


Conclusion

Once the sync is completed, the Outdoo bot should automatically join the scheduled Zoom meeting when it starts.

After the meeting ends and processing completes, the recording and conversation insights will appear in:

Outdoo → Conversations → Calls

The main validation point is confirming that:

  • The bot successfully joins the meeting automatically.
  • The meeting recording and insights appear afterward in Outdoo.
