This guide walks you through connecting a dedicated Zoom account to Outdoo so the platform can automatically join scheduled meetings, record conversations, and generate post-call insights. Connect your Zoom account to Outdoo AI to automatically capture meeting conversations, generate transcripts, create summaries, and unlock post-meeting insights.


Overview

The Zoom integration allows Outdoo AI to:

  • Automatically join eligible Zoom meetings using the Outdoo Notetaker
  • Record and transcribe meeting conversations
  • Generate AI-powered meeting summaries and insights
  • Make meeting intelligence available within Outdoo

Once connected, Outdoo can automatically detect and process scheduled Zoom meetings that meet the requirements described below.


Prerequisites

Before connecting Zoom to Outdoo, ensure that:

  • You have an active Outdoo subscription.
  • You have a Zoom account with permission to authorize third-party applications.
  • A dedicated Zoom user account is available for the Outdoo Notetaker.
  • Your Google Calendar or Outlook Calendar is connected to Outdoo.
  • Zoom meetings are scheduled through your connected calendar.
  • Meetings are scheduled at least 15 minutes before the start time.

For best results, create a dedicated Zoom user for the Outdoo Notetaker.

Enter the email address of the dedicated Zoom user in:

Settings → Notetaker User Email


Connect Zoom to Outdoo

Step 1: Open Zoom Integration Settings

  1. Log in to Outdoo.
  2. Navigate to Settings → Integrations.
  3. Open the following page or Locate Zoom
  4. Click Connect.

Step 2: Authorize the Zoom App

  1. Sign in to your Zoom account.
  2. Review the permissions requested by Outdoo.
  3. Click Allow to grant access.

Once authorization is complete, Zoom will be connected to your Outdoo workspace.


Connect Your Calendar

To enable automatic meeting detection:

  1. Navigate to Settings → Integrations.
  2. Connect your Google Calendar or Outlook Calendar.
  3. Verify that upcoming Zoom meetings appear in your connected calendar.

Outdoo uses calendar events to identify which Zoom meetings should be processed.


Test the Integration

After connecting Zoom:

  1. Schedule a Zoom meeting at least 15 minutes in the future.
  2. Ensure the meeting contains a valid Zoom meeting link.
  3. Verify the meeting appears in your connected calendar.
  4. Run a manual calendar sync if necessary.

When the meeting starts, the Outdoo Notetaker should automatically join.


How the Integration Works

Meeting Detection

Outdoo scans connected calendars for eligible Zoom meetings.

A meeting is considered eligible when:

  • Zoom is connected
  • A calendar is connected
  • The meeting contains a Zoom meeting URL
  • The meeting is scheduled in advance
  • Your subscription is active

Meeting Participation

When an eligible meeting begins:

  • The Outdoo Notetaker joins the meeting automatically.
  • Meeting audio is captured for transcription and analysis.
  • Participants may see the Notetaker listed in the meeting participant list.

After the Meeting

Once processing is complete, Outdoo generates:

  • Meeting transcripts
  • AI summaries
  • Key discussion points
  • Action items
  • Additional meeting intelligence features available in your plan

You can access processed meetings from your Outdoo workspace.


Preventing a Meeting from Being Recorded

If you do not want Outdoo to process a specific meeting:

  • Disconnect Zoom before the meeting begins, or
  • Remove the Zoom meeting from your connected calendar, or
  • Disable the Notetaker according to your workspace settings.

Changes must be made before the meeting starts.


Disconnect Zoom from Outdoo

To stop future Zoom meetings from being processed:

  1. Open Settings → Integrations.
  2. Locate the Zoom integration.
  3. Click Disconnect.

After disconnecting:

  • The Outdoo Notetaker will no longer join new Zoom meetings.
  • Future Zoom meetings will not be recorded or transcribed.
  • Existing meeting records already processed in Outdoo will remain available unless separately deleted.

Remove the App from Zoom Marketplace

You can also remove Outdoo directly from your Zoom account.

  1. Sign in to the Zoom App Marketplace.
  2. Navigate to Manage → Added Apps.
  3. Locate Outdoo AI.
  4. Click the app.
  5. Select Remove.

Removing the app revokes Outdoo's access to your Zoom account.


What Happens to Your Data After Removal

When the Zoom integration is disconnected or removed:

  • Outdoo can no longer access new Zoom meetings.
  • Zoom authorization tokens are revoked or become inactive.
  • Future meetings will not be processed.
  • Previously generated transcripts, summaries, recordings, and insights remain available in Outdoo according to your workspace settings and data retention policies.
  • Users may delete previously processed meeting data using available administrative controls.

Troubleshooting

Zoom Connection Fails

Try the following:

  • Verify that you are using the correct Zoom account.
  • Ensure your Zoom account can authorize third-party applications.
  • Disconnect and reconnect the integration.
  • Clear browser cache and try again.

Notetaker Does Not Join the Meeting

Check that:

  • Zoom is connected.
  • A calendar is connected.
  • The meeting contains a valid Zoom link.
  • The meeting was scheduled at least 15 minutes in advance.
  • The workspace subscription is active.

Meeting Does Not Appear in Outdoo

Try:

  • Running a calendar sync.
  • Verifying that the meeting exists in the connected calendar.
  • Confirming that the meeting was not deleted or modified shortly before the start time.

Processing Takes Longer Than Expected

Large meetings may require additional processing time before transcripts and insights become available.

Does the Notetaker join every Zoom meeting?

No. Only eligible meetings detected through your connected calendar are processed.

Can I disconnect Zoom at any time?

Yes. You can disconnect Zoom from Outdoo or remove the app from Zoom Marketplace whenever you choose.

Will my old meeting data be deleted when I disconnect Zoom?

Disconnecting Zoom prevents future meeting access but does not automatically delete previously processed meeting data.
